The challenge
The client, a multi-department healthcare provider, tracked admissions, discharge timing, and bed occupancy across disconnected systems — scheduling software, EHR exports, and manual end-of-day census sheets. There was no single view of patient flow or department-level performance leadership could check without waiting on a report.
Staffing decisions were made reactively, because bed occupancy and wait-time trends only became visible after a shift had already been short-staffed or overwhelmed.
The solution
Vizontra built a live Power BI dashboard connecting admissions, discharge, and department data into a single operational model, with DAX measures driving average length of stay, bed occupancy rate, patient volume by department, and wait time by shift from one shared source of truth.
The layout gives department leads a same-day view of patient flow, with drill-down by department, shift, and day, so staffing and capacity decisions can be made from the current picture instead of yesterday's numbers.
Results
- Bed occupancy and patient flow tracked in real time across every department
- Average length of stay and wait times visible by department and shift
- Manual end-of-day census reporting reduced to a single filtered view
- Department-level patient volume trends surfaced ahead of staffing decisions
- Discharge timing patterns visualized clearly for the first time
- Replaced spreadsheet-based daily census reports with one live dashboard
